Facility scheduling for K-12 districts

Open your buildings to the community. Never double-book a gym again.

Venue checks every request against your whole calendar, changeover time included, prices it at the right community-use rate, and holds it until the insurance certificate is in.

No signup needed. The demo opens on the public booking calendar.

Facility use this term

Illustrative figures for a mid-size division · the demo runs on seeded data

Utilization by facility

Share of bookable hours taken this term. The gym is not the problem; the classrooms are.

Community revenue

This year, by rate class.

$48,350billed
  • Community groups$28,400
  • Private rentals$13,950
  • Non-profit rate$6,000

Bookings by month

District use and community use move differently, which is the whole reason a rate card exists.

What Venue checks on every request

The rules a facilities office already applies by hand: who is asking, what they pay, whether the room is free, and whether their insurance is on file.

Conflict check

A request is compared with every booking on the calendar for that space, with changeover time between renters.

Rate tiers

Internal, PTA/booster, community nonprofit and commercial renters are each priced from their own rate card.

Recurring bookings

A Scout troop or rec league requests a whole season at once. The multi-date discount is applied to the total.

Insurance certificates

Outside groups lodge a certificate. A reviewer approves it, and bookings that need one are held until it is in.

Service fees

Custodial, AV, security and room setup are added to the room rate, so they appear on the same invoice.

Demand by hour

A day-by-hour heatmap shows when each space is busiest, for pricing and staffing.

Venue compared with spreadsheets and email

Community facility use is often tracked in a shared spreadsheet and an inbox. This is how each task changes.

  • Preventing double-bookings

Spreadsheets and email: Someone checks the calendar by eye

With Venue: Checked against the calendar when the request is made

  • Pricing outside groups

Spreadsheets and email: Rates quoted case by case

With Venue: Rate tier set by who is asking

  • Certificates of insurance

Spreadsheets and email: Kept in email threads and paper files

With Venue: Requested from outside groups and reviewed before approval

  • Custodial and AV fees

Spreadsheets and email: Invoiced separately, after the event

With Venue: Added to the booking quote

  • Understanding demand

Spreadsheets and email: Rough memory of which rooms are busy

With Venue: Heatmap of bookings by day and hour
